Paiday launches 'phase 1' of expansive integrations with QuickBooks Online and Xero to give firms smarter payroll visibility

Payroll is one of the last messy workflows in a modern accounting firm.

Payroll is one of the last messy workflows in a modern accounting firm.

You run the payroll. Then you post the journal. Then you clean things up. Then you answer questions. Then you reconcile what should have connected in the first place.

That’s why this launch matters.

Paiday now offers native integrations with QuickBooks Online and Xero.

For Canadian accounting firms, that means payroll journal entries can now flow into the accounting system without the usual manual steps in between.

So yes, this is a practical update.

But it’s also a strategic one.

Because most payroll integrations stop at “journal posted.” That’s helpful, but it doesn’t really solve the bigger problem. Payroll is still treated like a separate task instead of part of the wider workflow inside the firm.

We think that needs to change.

With QuickBooks Online and Xero now connected, Paiday can do the obvious job first: reduce manual posting, cut down reconciliation work, and make month-end cleaner.

But that’s not the full story.

These integrations also create the foundation for the next phase of Hub.

As payroll and accounting become more connected, Hub gets the context it needs to become more useful. Not just as a place to run payroll, but as a place to understand it better, manage it better, and eventually surface insights that other payroll tools simply don’t.

That’s the real opportunity.

Today it’s a journal entry. Tomorrow it’s smarter visibility into payroll across the firm.

That matters because accounting firms don’t experience payroll the same way employers do.

They’re not managing one payroll in one system. They’re juggling multiple clients, multiple deadlines, scattered notes, manual workarounds, and disconnected tools. That’s exactly the problem Paiday was built to solve.

So this release is a meaningful step.

Not because integrations are exciting on their own.
Because connected systems are what make better payroll workflows possible.

If your firm is already using QuickBooks Online or Xero, this is a simpler way to unify payroll and accounting today, while getting closer to the kind of workflow Paiday is building toward.

Cleaner journals now.
Better insight next.
Much less mess in between.

Want to see how the QuickBooks Online and Xero integrations work in Paiday?

Paiday launches 'phase 1' of expansive integrations with QuickBooks Online and Xero to give firms smarter payroll visibility

Firm-First Payroll Platform for Canadian Accounting Firms

Payroll isn’t broken because it’s complex.
It’s broken because it wasn’t built for how accounting firms actually work.

Payroll isn’t broken because it’s complex.
It’s broken because it wasn’t built for how accounting firms actually work.

For years, Canadian firms have been forced to manage payroll across a patchwork of tools, portals, spreadsheets, emails, and reminders. It technically works. But it doesn’t scale. And it definitely doesn’t respect the time, margins, or risk profile of the firm delivering the service.

That’s the core insight behind Paiday.

In our first webinar, we shared why payroll innovation has stalled in Canada, where the real friction lives for accountants and bookkeepers, and why a firm-first payroll platform is no longer optional. This post breaks that down.

The hidden reality of payroll inside accounting firms

Most payroll software in Canada is designed for one employer running one payroll.

Accounting firms don’t work that way.

A single firm might run payroll for 30, 50, or even hundreds of clients. Each client may be on a different payroll system. Each system has its own deadlines, approvals, quirks, and workflows. And none of them talk to each other.

In our research and live conversations with firms, a consistent pattern showed up:

Payroll software open in one tab

Spreadsheets open in another

Email open to track client changes

CRA portal open for remittances and balances

Slack or Teams open for internal questions

None of this is connected. And no single system gives the firm a clear, real-time view of what’s due, what’s late, what’s out of scope, or where risk is building.

Even more surprising, many firms told us they’re actively managing five to ten different payroll platforms at once. Not by choice. But because that’s what clients arrived with, and switching feels too risky or too time-consuming.

The result is constant context switching, manual tracking, and silent margin erosion.

Why payroll innovation has stalled in Canada

There are roughly 36,000 accounting firms in Canada, and more than 1.2 million employer businesses. Most payroll vendors have chosen to focus on the larger number, selling directly to small businesses.

That decision shapes everything.

When a platform serves both direct employers and accounting firms, firms will always be the minority user. Features get built for the employer experience first. Firm workflows become an afterthought.

That’s why most payroll tools still look and behave the same way they did 10 or 15 years ago. You enter hours. You run payroll. A journal entry gets pushed to the general ledger. And that’s where the innovation stops.

But firms don’t just “run payroll.” They manage approvals, scope, compliance, deadlines, staff capacity, and downstream CRA risk across dozens of clients at once.

No amount of surface-level UI tweaks fixes that.

The real cost of disconnected payroll workflows

When payroll breaks, the consequences don’t stay inside the payroll system.

A mismatch between payroll reports and CRA balances can trigger a Pensionable and Insurable Earnings Review. Fixing that never falls on the payroll vendor. It falls on the firm. Often unpaid.

Errors in T4s or ROEs don’t just create extra work. They can directly affect employees’ access to government benefits and trigger audits or reassessments months later.

At the firm level, the damage is quieter but constant:

Staff spend time chasing approvals instead of delivering value

Scope creep goes unnoticed and unbilled

Year-end clean-up becomes inevitable instead of preventable

Partners lose visibility into what’s actually happening across payroll clients

Many firms told us they’ve simply accepted this as “part of doing payroll.”

We don’t think that’s good enough.

What changes when payroll is built for firms first

Paiday starts from a different assumption:
The firm is the primary user.

Instead of replacing every payroll engine overnight, Paiday introduces a single payroll hub where firms can see and manage all client payrolls in one place, regardless of which payroll software the client is currently using.

From that hub, firms get:

One dashboard showing every payroll, deadline, and approval status

Clear visibility into what’s overdue, what’s at risk, and what’s coming up

Scope tracking based on employee counts, not guesswork

The ability to assign preparers and manage access across the firm

Bulk client and employee onboarding to eliminate manual setup

This isn’t about adding another system. It’s about removing the need to jump between ten of them.

Beyond the back-end journal entry

Most payroll integrations stop at pushing a journal entry into the general ledger after payroll is run.

That’s backwards.

There’s valuable information in the GL before payroll runs. Wage advances. Bonuses. Adjustments. Cash position. All of these affect payroll accuracy and timing.

Paiday is built to integrate at the front end, pulling insights from the GL and surfacing them where payroll decisions actually happen. That means fewer surprises, fewer year-end fixes, and fewer awkward conversations with clients after the fact.

Canadian payroll, done properly

Paiday is built specifically for Canadian firms and Canadian compliance.

The payroll engine is powered by an embedded provider with decades of experience in the Canadian payroll ecosystem. That means statutory holiday rules, ROEs, T4s, T4As, and CRA remittances are handled with the depth and nuance firms expect.

Just as important, Paiday is transparent about how that engine works. Accountants don’t want black boxes. They want clarity, auditability, and control.

Solving the capacity problem firms actually have

There’s no shortage of payroll clients. There is a shortage of staff capacity.

Firms can solve that in two ways:

Hire more people

Do more with the team they already have

Paiday is built for the second option.

By reducing context switching, making scope visible, and embedding payroll directly into firm workflows, Paiday helps firms increase the number of payrolls each staff member can confidently manage, without increasing risk.

That’s how payroll becomes scalable instead of exhausting.

A better way forward for firm-run payroll

Payroll doesn’t need more features.
It needs better alignment with how firms actually operate.

Paiday exists to give Canadian accounting and bookkeeping firms a single, intelligent place to see, run, and manage payroll across their entire client base. Built for firms. Designed for scale. Grounded in real practitioner pain.

If payroll is a service line you want to grow, not just survive, it’s time for a different approach.

Watch the recording

Payroll hasn’t become more complex because firms are doing it wrong. It’s become complex because the way payroll is delivered has fundamentally changed.

Canadian accounting and bookkeeping firms are now managing payroll across:

Multiple payroll software platforms

Dozens or hundreds of clients

Different approval timelines and pay frequencies

Constant client changes that don’t always make it into the system

Most payroll tools were never designed for that reality.

That’s exactly why at Paiday, we built the Payroll Hub.

This guide breaks down what a payroll hub is, what it isn’t, the problems it solves for accounting firms, and how to get started.

What is a payroll hub?

A payroll hub is a central workspace that allows accounting firms to manage payroll operations across all clients, regardless of which payroll software those clients use.

The Paiday Payroll Hub gives firms a single place to:

Track every payroll they are responsible for

See upcoming pay runs and approval deadlines

Flag overdue or at-risk payrolls

Assign preparers and responsibilities

Monitor employee counts against the agreed-upon scope

Manage user access across clients

Bring structure to payroll workflows

Instead of logging into multiple payroll systems just to understand what’s happening, firms start in one place.

The hub is built for payroll oversight and control, not just payroll processing.

What the Payroll Hub is not

The Paiday Payroll Hub is not another payroll engine competing for every payroll run.

It does not require:

Migrating existing payrolls

Rebuilding historical data

Forcing clients onto a new system

Changing how payroll is currently run

If your clients already use platforms like Wagepoint, Payworks, ADP, or other Canadian payroll software, the Payroll Hub still works.

The hub sits above payroll software. It gives your firm visibility and consistency without disruption.

This is a key distinction, and one that most payroll technology misses.

Payroll Hub vs payroll engine: what’s the difference?

Paiday offers both a Payroll Hub and a Payroll Engine, but they are intentionally separate.

Payroll Hub: How your firm manages payroll across clients

Payroll Engine: How payroll is actually run for clients using Paiday payroll

When a client uses the Paiday Payroll Engine, the hub connects directly and shows real-time payroll status, blockers, and warnings.

When a client uses another payroll system, the hub still tracks:

Payroll schedules

Approval deadlines

Assigned preparers

Scope status

Workflow progress

Same dashboard. Same oversight. No blind spots.

This separation allows firms to standardize operations without forcing standardization on clients.

Why accounting firms struggle with payroll today

1. Payroll visibility is fragmented

Most firms don’t have a payroll problem. They have a visibility problem.

Information lives in emails, spreadsheets, calendars, and multiple payroll systems. Knowing what’s due, what’s late, and who’s responsible often requires manual checking.

A payroll hub replaces that with a live, firm-wide view.

2. Approval deadlines are easy to miss

Each payroll provider has different cut-off times. Tracking them manually doesn’t scale.

The Payroll Hub surfaces deadlines clearly and flags issues before payroll becomes overdue, reducing last-minute scrambles and risk.

3. Payroll scope creep goes unnoticed

Employee counts change quietly. Pricing often doesn’t.

The Payroll Hub tracks employee volumes against the agreed-upon scope, giving firms a clear signal when payroll services need to be repriced.

4. Ownership inside the firm isn’t always clear

Who’s preparing this payroll? Who’s covering when someone is away?

The hub makes preparer ownership visible and filterable, so payroll responsibility is intentional, not assumed.

5. Too many systems increase risk

No firm uses just one payroll platform. Many use five, eight, or even ten.

The Payroll Hub doesn’t replace those systems. It reduces the mental load of managing them.

How Canadian accounting firms use the Payroll Hub

Managing multiple payroll platforms

For firms supporting clients across different payroll software, the hub becomes the operational control centre.

Clients don’t need to change the software they work with, the firm can just manage it all through a single view in Paiday.

Scaling payroll services without the admin

As payroll volumes grow, informal tracking breaks down.

The Payroll Hub adds structure early, before missed deadlines and margin erosion become normal.

Gradually introducing Paiday Payroll

Some clients stay on their current payroll system.
Others move to Paiday Payroll over time.

The hub supports both, without forcing a big migration.

How to get started with the Paiday Payroll Hub

Getting started doesn’t require client involvement.

Firms can:

Create a Paiday account

Add payroll clients individually or via bulk import

Assign payroll software, pay schedules, and preparers

Start tracking deadlines and scope immediately

If and when you decide to use the Paiday Payroll Engine, those clients connect directly into the same hub you’re already using.

Why Paiday built a payroll hub first

Paiday wasn’t built to add work to your payroll runs. It was built to fix payroll operations inside accounting firms.

Most payroll software is designed for small businesses. Paiday is designed for the professionals managing payroll at scale.

Paiday Hub reflects that philosophy. Built for how accounting firms actually work.
